SEND A MESSAGE

Create new message


In the version of BeMail used, the messages are plain text.
In the higher versions of the product, HTML or RTF formats can also be used.

To create a new message, you need to click on the "New message" button located to the left of the edit panel or to press a combination of [ Alt+N ] keys as shown on the image.

Before going into draft mode, the system will automatically check whether the mail server is available.
If you have entered a correct username and password, and if you have internet connectivity, the "Ready to send" indicator lights up in yellow as shown on the image.

In order to send a message, it is necessary to enter the recipient's address in the "Recipient" field, and in the "Subject" box, a brief description of the subject of the message.

Entering and editing text messages is no different than the way it is done in standard text editors. The operator has the ability to copy the text, add or remove passages or write the message to a file.


Encrypt and decrypt message


Encryption of a message in this version of BeMail does not require the user to enter a password.
In this case, the system uses object-relational encryption elements, which differs from standard encryption methods.

To encrypt the message we want to send, we need to click the "Encrypt message" button or press the [ F9 ] key as shown on the image.

As a result of this action, the text entered in the "Message" field will be encrypted.

In this case, the message is converted from an open text message to a secure one. In practice, this translates the text in a way that renders it unusable.

To restore the text to its original form, we need to click on the "Decrypt message" button or press the [ F10 ] key as shown on the image.

As a result of these actions, the message will be converted to its original form.

As with encryption, in this case, no password or other action is required to complete the process. All procedures, incl. and the generation of a secret key are fully automated.


Add files to the message


Adding (attaching) files to the message does not differ from the standard approach used in any e-mail.

To add (attach) one or more files to the text message, you need to click on the "Attach files" button or press the [Ctrl+A] key combination as shown on the image.

Once the Attachments module is enabled, one or more files can be selected to be added. This is done by clicking on the arrow to the right of the "Select" sign.

The list of attachments can be edited or cleared according to the specific needs. Files can be added to it if needed.

Unlike batch mode, you can not add folders here. This feature is available in higher versions of the product, such as SE, SPE, PE and EE.

After the message is formed and the files attached, the operator can send it to the recipient by pressing the arrow to the right of the "Send" or pressing the [ F11 ] key.

The sent message will be automatically added to the Sent Messages table as shown on the image.

If necessary, the message can be saved in a separate file by clicking on the "Save Message" button or by pressing the [Ctrl+S] keystroke.

It is recommended that messages be stored in encrypted form.


RECEIVING MESSAGES


Receiving messages without being removed from the server


By default, in this version of the product, once read, the messages are stored on the mail server unless explicitly specified to be removed from the mail server.

To read the new e-mail messages, click the "Receive Messages" button located on the control panel or click [ F12 ].

If the "Delete from server" field is not scanned by the operator, the received messages will be stored there and can be retrieved if necessary.
If the messages are deleted from the mail server, they will only be stored locally. This means that once a message has been received, it can no longer be downloaded.


Encrypting and decrypting received messages


If the sent messages have been encrypted, the system will store them in a protected form.
If they were sent as open text, they will not require a decryption procedure.

It is recommended that BeMail be used to exchange encrypted messages to a dedicated client, regardless of the fact that it is allowed to exchange data with other web-based resources as well.

As with encryption, in this case the operator is not required to enter a password or other action to decipher the messages.
Once the message is downloaded from the server and recorded in the message table, it can be deciphered.

To decipher the selected message, we need to click on the "Decrypt the message" button or press the [F10] key as shown on the image.
As a result, the encrypted message will be rendered in its original form and can be read, printed, or converted to PDF, HTML or RTF.

IMPORTANT!

Although BeMail can also be used as e-mail, the module remains a specialized application for exchanging secure information, with all the resulting consequences.

The advantage in this case is that all processes related to encryption and decryption of text messages are fully automated and do not require special knowledge.


Note: If you use the application to receive only encrypted messages, then you can check the "Decrypt messages" box, which ensures that messages are automatically deciphered when viewed.
